Privacy Statement, Ts & Cs, Update May 2018
Like small businesses the world over, we´ve checked out the new GDPR legislation that went into effect in May 2018. To make sure we´re as transparent as possible please find below, in straight forward language, details of how we use personal data that comes through our hands. And some general ts and cs which our clients agree to when they work with us.
We´re a very small business. We don´t hold a centralised database of information or operate a mailing list. We have the very basic info for helping collective members, who give us permission to have that when they join; and the minimum on clients in order to fulfil work for them and invoice afterwards. If there´s any change to this in future, we´ll be sure to let you know in good time because we value transparency as much as anyone. We do use Google cloud tools, like many small businesses, and make sure to do everything we can to keep those protected. Google is obliged to work in line with EU Regs and we´ve updated all settings to suit, as need be.

Executive Agreements
All rates are agreed with each client in advance of carrying out a job. Requests for work, agreement thereof, offers or rates, confirmation of rates, agreement of deadlines and all correspondence will be done via email. We use these confirmation, ´go´ emails, as our agreement with you. If an employee at a company we work with, who has permission to commission us for a task, asks us to do perform a task we will take the go from that named contact unless we hear otherwise. We will always give you the time necessary to think about our offer and come back to us with a ´go´, so we know the client's confirmation has been formalised and anything client side that needs to happen before we start has happened, any internal permissions have been confirmed. We take the documents received as the final version from which we can start work.
We do our utmost to remain transparent in all correspondence, so should there be a delay we will let you know as soon as possible and keep in touch about progress as appropriate. Should we be unable to complete a job, for reasons of sickness, or anything else out of our control; we will first let you know, and try to meet a solution together (e.g. an extended deadline). If a job cannot be completed then there will be no charge for that job. Quint-Creative can not be held responsible for any loss of time or revenue from such an occurrence and will (as far as it is within our control) try and help to minimise any inconvenience.
Payment
We will invoice upon completion of a job, unless otherwise agreed upon (e.g. if working on a project basis). Invoices are either due 15 days after receival (standard) or 30 days after receival where agreed upon when first undertaking work. This for instance is the case for video production and sometimes voice over or acting work, your end-client has to pay you first. If you run into a problem in regards to payment please, get in touch to discuss. We value your transparency as much as you value ours.
Privacy and Use of Personal Data
Please do note we work with Google systems for business administration, and as such our documentation is stored in the Google cloud on our private accounts. We make sure to keep up with Google's updates, and they in turn are bound by EU laws and legislation to protect your, and our, privacy. We will not share your information, personal or otherwise, with any other party unless we have your permission to do so. And take all reasonable action to keep our records, which may include client correspondence or data, secure.
We hold no centralised database of personal data, if you are a client of Quint-Creative, we simply reserve the right to keep your contact/personal details for administration purposes, so we can carry out the work you ask of us and process invoices and email etc as both parties have a justified interest in us so doing. As and when a document or file is no longer relevant to its initial purpose, or you have indicated you do not wish to be a client any more, or stay updated on our activities, we will remove that document or information from our files. You can always opt-out of communications at any time. And come to us directly with any questions or concerns.
For current Quint-Collective members, all work remains the authors copyright. We have this on the site too. In joining the collective you agree that we can use your company/name and website url as ways of referring people to you through our site, and keep your personal email and telephone numbers and/or social media links so that we can contact you. We do not derive any money or commission from having you, or your work, on our site. We will not pass your contact details on to anyone else, interested in your work or otherwise, without asking you first. More likely we will ask them to pass their details on to you and, if you are interested in getting in touch with said interested party so you can do that directly. Or simply refer them to your website as necessary. We do not act in any other way as an intermediary. You can be removed from the Collective as and when you wish, and opt out of any email communication at any time.
Transcription & Translation
Transcription or translation of ´spreektaal´, especially in natural language for digital, always has a degree of localisation to it, if it were very literally word for word, it would read strangely. If your text is intended for publication, sharing or dissemination of any kind, then you the client have final responsibility for checking over the delivered text or translation to make sure that you are happy with it, and that it meets your needs and ends. We do not deliver formal legal, medical or technical translations. Only content, and marketing texts or texts that have this as their main goal. As such any text is for informational purposes only and no rights can be associated with it.
